We keep this privacy notice under regular review and will update it as necessary.

We respect your privacy and is committed to protecting your personal data. This privacy notice explains how we collect, use, store and protect your personal information when you take part in the Kent Domestic Abuse Champions Training Programme. It also explains your rights and how the law protects you.

Who we are

We collect, use and are responsible for certain personal information about you. When we do so, we are regulated under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. We act as the Data Controller for the personal information collected as part of the Kent Domestic Abuse Champions Training Programme. Our Data Protection Officer is Benjamin Watts.

The Kent Domestic Abuse Champions Training Programme aims to equip professionals, volunteers and community members with the knowledge and confidence to recognise and respond appropriately to domestic abuse, raise awareness, and signpost individuals to support services.

Personal information we collect and use

Information collected by us

As part of enrolling via Eventbrite and participating in the programme, we may collect:

• name
• job title (where applicable)
• organisation name (where applicable)
• telephone number
• email address
• work address or preferred location address
• training attendance records
• feedback forms
• dietary or accessibility requirements (where relevant).

Special category data

We may occasionally collect special category data where necessary to support participation in the training, such as:

• disability or accessibility information
• health information relevant to reasonable adjustments
• equality monitoring information, including:
• age
• sex or gender
• ethnicity
• sexual orientation (optional).

Any special category data will be collected only where necessary and handled with additional safeguards.

How we use your personal information

We use the information you provide to:

• process and manage your registration for training
• contact you regarding training sessions, updates and resources.
• maintain attendance records and issue certificates of completion where appropriate.
• evaluate and improve the quality and effectiveness of the training programme.
• make sure participants can access any support or reasonable adjustments required.
• monitor participation to help ensure the programme reaches a diverse range of individuals and organisations.
• report anonymised participation data to funders, commissioners and partner organisations where required.

Keeping in touch

As part of the Kent Domestic Abuse Champions programme, we aim to support champions beyond their initial training. To enable this, we will retain your contact details so that we can invite you to ongoing Community of Practice sessions, share relevant programme updates, circulate resources, and inform you about continuing learning and networking opportunities related to your role as a domestic abuse champion.

Reasons we can collect and use your personal information

When we collect your personal data, we rely on the following lawful bases:

Personal data

• Article 6(1)(e) – Processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the council.

Where participation is voluntary and specific consent is sought for particular activities:

• Article 6(1)(a) – The individual has given consent to the processing of their personal data for one or more specific purposes.

Special category data

Where special category data is collected:

• Article 9(2)(a) – The individual has given explicit consent.
• Article 9(2)(g) – Processing is necessary for reasons of substantial public interest, where applicable.

How long your personal data will be kept

As per our data retention schedule and in line with the retention period set for this project (code reference: AS6.6.38, your personal and special category data will be kept until the end of the Kent and Medway Domestic Abuse Strategy 2024 to 2029 (December 2029) and then securely destroyed.

Anonymised statistical information may be retained for monitoring, service planning and reporting purposes.

Who we share your personal information with

Your information will be accessed only by employees from the our Domestic Abuse Projects and Partnership Team involved in delivering, managing and evaluating the Kent Domestic Abuse Champions Training Programme.

We may share anonymised data information with:

• partner agencies involved in domestic abuse prevention and awareness work from the Kent and Medway Domestic Abuse Partnership
• funding bodies or commissioners, where reporting requirements apply.

We will only disclose personal information where:

• you have given consent;
• we are required to do so by law; or
• it is necessary to safeguard an individual from serious harm.

Information shared for reporting and evaluation purposes will normally be aggregated and anonymised.

Your rights

Under GDPR you have rights which you can exercise free of charge which allow you to:

• know what we are doing with your information and why we are doing it
• ask to see what information we hold about you (subject access request)
• ask us to correct any mistakes in the information we hold about you
• object to direct marketing
• make a complaint to the Information Commissioner's Office

Depending on your GP’s reason for using your information you may also be entitled to:

• object to how your GP is using your information
• ask your GP to delete information they hold about you
• have your information transferred electronically to yourself or to another organisation
• object to decisions being made that significantly affect you
• stop your GP using your information in certain ways.

We will always seek to comply with your request however we may be required to hold or use your information to comply with legal duties. Please note, your request may delay or prevent us delivering a service to you.

Your right to withdraw your consent

Where we rely on your consent to process your personal information. You can request that your contact details are removed from our mailing list or records at any time by emailing the domestic abuse projects and partnerships team at daprojects@kent.gov.uk .

Keeping your personal information secure

We, and your GP surgery, have appropriate security measures in place to prevent personal information from being accidentally lost or used or accessed in an unauthorised way. We limit access to your personal information to those who have a genuine business need to know it. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.

We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.
