Kent County Council (KCC) respects your privacy and is committed to protecting your personal data. This privacy notice will inform you as to how we look after your personal data and tell you about your privacy rights and how the law protects you.

Who we are

We collect, use and are responsible for certain personal information about you. When we do so we are regulated under the United Kingdom General Data Protection Regulation (‘UK GDPR’) and the Data Protection Act 2018. We are responsible as ‘controller’ of that personal information. Our Fastrack team are looking to improve leisure patronage across the Thameside network. A number of focus groups will be conducted by ThreeTenSeven (a third party supplier to KCC) in early 2026; whose aim is to understand what barriers are in place which prevent residents from increasing their usage of bus and leisure travel. Participants of these focus groups will be expected to be those residents in and around the Fastrack network (Dartford and Gravesend). Our Data Protection Officer is Benjamin Watts.

The personal information we collect and use

Information collected by us

In the course of being a participant in the Fastrack Leisure Travel focus groups we collect the following personal information when you provide it to us:

  • Name of attendees.
  • Age of attendees.
  • Email address of attendees.
  • Postal address of attendees.

As part of the focus groups, we will also collect the following non-personal information when you provide it to us:

  • Reasons why you may or may not use buses or leisure travel.

How we use your personal information

We use your personal information to:

  • contact you regarding your interest and participation in the focus groups
  • organise the focus groups including registration and identification
  • understand the reasons for bus use and barriers to bus and leisure travel
  • improve patronage in bus travel and leisure travel
  • produce an anonymised summary analysis report regarding bus and leisure travel for use with future KCC schemes and initiatives for purposes of informing future decision making regarding Fastrack services
  • contact you in the future regarding any similar KCC schemes or initiatives that maybe of interest to you.

Reasons we can collect and use your personal information

We rely on Article 6 (1)(a) of GDPR processing is ‘data subject has given consent to the processing of their personal data for one or more specific purposes’ as the lawful basis on which we collect and use your personal data.

The provision of name, email address, postal address and age is required from you to enable us to contact you regarding participating in the focus groups, organise the focus groups, understand reasons, barriers and trends regarding bus and leisure travel, produce an anonymised summary report on bus and leisure travel, contact you regarding any future similar KCC scheme or initiative in the future.

As we have a consensual basis for collecting your personal data if you do not provide name, email address, postal address and age we may not be able to arrange for your participation in a focus group or improve patronage in bus and leisure travel.

How long your personal data will be kept

We keep your personal data for use in the creation of the anonymised summary analysis report and will dispose of your personal data once the report has been published in 2026.

We will keep the anonymised summary analysis report indefinitely for the purposes of informing future decision making regarding Fastrack services.

Who we share your personal information with

We routinely share:

  • name of attendee and reasons for bus use and barriers to bus and leisure travel with [our third party suppliers (ThreeTenSeven) for purposes of arranging the focus groups and producing an anonymised summary analysis report. Read the ThreeTenSeven privacy notice.

This data sharing enables ThreeTenSeven third party suppliers to arrange the focus groups and produce an anonymised summary analysis report).

We have a data processing agreement in place with ThreeTenSeven (our third party supplier) who process your data on our behalf. We will share personal information with law enforcement or other authorities if required by applicable law or in connection with legal proceedings.

We will share personal information with our legal and professional advisers in the event of a dispute, complaint or claim. We rely on Article 9(2)(f) where the processing of special category data is necessary for the establishment, exercise or defence of legal claims or whenever courts are acting in their judicial capacity.

Your rights

Under the UK GDPR you have rights which you can exercise free of charge which allow you to:

  • know what we are doing with your information and why we are doing it
  • ask to see what information we hold about you (subject access request)
  • ask us to correct any mistakes in the information we hold about you
  • object to direct marketing
  • make a complaint to the Information Commissioner's Office.

Depending on our reason for using your information you may also be entitled to:

  • object to how we are using your information
  • ask us to delete information we hold about you
  • have your information transferred electronically to you or to another organisation
  • object to decisions being made that significantly affect you
  • stop us using your information in certain ways.

We will always seek to comply with your request. However, we may be required to hold or use your information to comply with legal duties. Your request may delay or prevent us delivering a service to you.

Where we rely on your consent to process your personal information, you can withdraw your consent to our use of your data at any time.

Keeping your personal information secure

We have appropriate security measures in place to prevent personal information from being accidentally lost, or used or accessed in an unauthorised way. We limit access to your personal information to those who have a genuine business need to know it. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.

We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.
